What do you need from me to get setup?

We provide a 60-90 day implementation period upon your school’s purchase of OpenApply. You will be assigned a dedicated implementation Manager, who will walk you through our set-up process, learn your school’s goals for launching the system and tailor your implementation schedule accordingly. They will then be on-call to assist in customising your account and providing training for your staff during the implementation period. The first step is to send your implementation manager all of your existing admissions forms and any other documents relating to your admissions process, such as a list of the documents you require from each applicant, or any other relevant information about your admissions process.

How do users access OpenApply

After the account build is completed, your Implementation Manger will add you and your colleagues as admin users to your school account where welcome emails would be sent and you can set your own password. Email address & password are used to sign-in. Each OpenApply school is configured with a unique domain, such as yourschool.openapply.com. Note that there are separate login pages for parents and admins, so make sure to click Admin Login in the bottom right of the parent sign in page, to access the system as an admin user.

What is required to run OpenApply at my school?

OpenApply is a web-based application that is hosted on our servers. All you need is an internet connection and a modern web browser with JavaScript enabled. We would recommend using Google Chrome for the best experience, but the latest versions of Safari, Firefox and other internet browsers should all work on both Macs & PCs.

Where are you hosted?

OpenApply is hosted in the cloud across Amazon Web Services data centers in Canada, the US and China. Your hosting location is dependent on the location of your school and local data protection laws.

How secure is OpenApply?

OpenApply is committed to keeping your data safe and secure by using best practices to protect our systems. These range from SSL connections to continuous security review of our source code. We are proudly ISO 27001 certified, as well as GDPR compliant. As a condition of our license with the IB, we undergo an annual security audit. In what languages is OpenApply available?

The main OpenApply interface is provided in English. If you need a second language user interface for Parents & Admins, we support the languages as below:

  • Chinese (Simplified or Traditional)

  • Spanish

  • German

  • Arabic

Translations can be added to all forms, text and emails, for bilingual schools. All text boxes support Unicode (UTF-8) formatting, allowing for input of international characters in all major languages.
