# April

### Administration

If you have any issue with exams contact IB answers. It is often quicker and more efficient to do this by phone. Emails will be answered but not for three days.&#x20;

Phone numbers for IB answers in your IB region can be found in the PRC.&#x20;

### Assessment

* Receive exam stationary.
  * You should open the package when it arrives (nothing in the stationary shipment needs to remain sealed until exams).
  * Check the stationary items against the enclosed checklist.
  * Check the multiple choice answer sheets.&#x20;
  * Organise the stationary as appropriate.
  * Store the stationary securely.

If there are errors or missing students, contact IB answers. Note that blank multiple choice stationary can be printed from IBIS.

* Post mandatory notices in exam location(s) (conduct of exams, prohibited items, etc.).
  * These posters should have been delivered with the exam stationary, but they can also be printed from the PRC.
  * Post notices two weeks before the first exam.
* Second major upload (should be either April 10 or April 20). To upload internal assessments: Go to Subject → IAPG
  * Go to ‘Mark Entry’ → ‘IA Mark Entry’ and click on ‘enter marks’
  * Put in the total marks for the IA (every subject has a different number of points available according to their rubric)
  * Confirm the IA marks by typing them in a second time
  * Look for the window that will pop up. It will tell you which students have been automatically selected for moderation
  * For students selected for moderation, a new section will appear in eCoursework that enables you to upload the student work as well as marks and teacher comments.

The CP coordinator is responsible for uploading all parts of the reflective projects securely by 20 April/20 October.

The coordinator will need to submit all parts of the reflective project of each sample candidate for external moderation. This should be uploaded via the “eCoursework” tab on IBIS.

It can take up to a day for the eCoursework to be updated with an upload place for IA moderation. So, best not to wait until the last day!

Give yourself extra time for Group 6 subjects (particularly visual art and film). The time to complete uploads for these subjects can be lengthy.

Enter Predicted Grades for all subjects.

* On IBIS, go to IAPG and select Predicted Grades.
* Teachers new to IB are often confused about PGs.
* Save the predicted grade descriptors from the PRC and send them to all IB teachers.
* Remind teachers that the PG is holistic and should encompass both the IA and how they think the student(s) will do in the written exams.
* If caught between two grades, it’s recommended to go with the lower one (if the IB has to base a score off of PGs in the future, it’s better to be on record as scoring low rather than scoring high).

Final upload deadline is around April 30. All remaining Group 6 elements are due.

### Students

Distribute conduct of exams information to each student.

Have students sign a form that they have received the notice. Keep the form until exams are posted.

Have CP2 students address envelopes (big ones, if available) for certificate mailing when official results come in in the autumn term/semester.

Distribute PIN numbers for accessing exam results (print these from IBIS).

Identify Year 12 students (CP2). Write down what college they’re attending (if they know).
