May
Administration
Your focus (and time) in May will be taken up almost entirely by exams.
Ensure you are completely familiar with IB regulations and procedures well in advance and make a checklist. Have the phone number for IB answers posted somewhere visible .
Receive the exam shipment.
Keep exams secure when they are delivered. Do not open the dark blue exam bags until the time of exams .
Check the exam delivery against the included checklist.
Double-check that you have enough exams for your students, and that the level of each exam is correct.
Organise exams.
Suggestion: Have one drawer or file for each week of testing, and sort each specific exam into a folder. Place the folders in order of administration.
Label folders with the exam, date, and time as well as the names of the invigilator.
Invigilate exams. The coordinator should start and end each exam if possible (you can assign the task to a qualified invigilator if necessary).
Keep exam scripts secure.
Ship exam scripts in accordance with IB guidelines within 24 hours of exam administration.
Obtain scanning centre addresses (separate for multiple choice and all other exams) from IBIS.
Assessment of CP core programme
The core components of personal and professional skills, service learning and language development must be satisfactorily completed as part of the requirements for the award of the CP.
The school determines whether personal and professional skills, service learning and language development have been satisfactorily completed. This is then reported to the IB through IBIS.
IBIS is programmed to default to satisfactory completion of personal and professional skills, service learning and language development requirements.
If this is not the case, and a student has not satisfactorily completed the personal and professional skills, service learning and/or language development requirements, the CP coordinator should access IBIS and go to Candidate>Candidate registrations>Post registration>CP requirements.
Finally, the coordinator should untick the candidates that have not completed the requirements by the 1st of June for the May session and 1st of December for the November session.
Staff and Students
Communicate clearly with all IB teachers and students about exam progress and protocols.
Conduct an end-of-year or exit survey for graduating seniors and IB faculty that gives an opportunity for feedback on the programme.
