In our meetings, we will review how your school manages Parent Teacher Conferences (PTC). We support the setup of both onsite and online signup processes, tailored to your school's specific needs.

SchoolsBuddy integrates with your Management Information System (MIS) or Student Information System (SIS), allowing for the import of homeroom and subject class information. This integration facilitates the bulk creation of teacher groups and the efficient scheduling of meetings for multiple teachers.

In order to

  • Prevent parents from booking overlapping time slots when they have children in multiple school divisions

  • Avoid creating duplicate time slots for teachers who teach across divisions

You have to set up one single container for all school divisions if their PTC days coincide or overlap.

An onsite PTC setup process generally includes 3 steps:

Step 1 : Create a Container

Step 2 : Create Teacher Groups (Homeroom or Subject classes)

Step 3 : Create Events & Publish Events

An online PTC setup process generally includes 4 steps:

Step 1 : Decide an online meeting method in Settings

  • Meeting URLs You can use Google Meet / Zoom / Microsoft Teams links to conduct online meetings. Recommended if 'Share screen' function is required.

  • Embedded Video You can use SchoolsBuddy embedded video option (partnered with Twilio) to conduct online meetings. Recommended if 'automatic cutoff' function is required.

If your school wishes to conduct both onsite and online PTC, you can create separate meetings for each. For example, you might set up all morning sessions as onsite and all afternoon sessions as online.

chevron-rightHow to handle breaks for your Parent Teacher Conferenceshashtag

There are two ways to handle breaks for your PTC:

Standard Break Time You can apply standard break time(s) for all teachers when creating events. For example, all teachers are taking lunch break during 12:00 - 13:00 where no meetings will be provided for booking.

Handling breaks in your Parent Teacher Conference / Parents' Evening arrow-up-right

Individual Scheduling You can allow individual teacher to block out their own time slots for break time(s) if applicable. For example, all teachers are advise to block out an hour for lunch during 11:00 - 14:00. Some teachers may choose to block out 11:30 - 12:30, while others may block out 13:00 - 14:00.

(Note: If your school does not permit teachers to block out their own time slots, please inform us so we can disable this feature.)
