What will we cover?

In our meetings, we will review how your school manages bookings for events using the Instant Book module. This module is suitable for school trips, wraparound care events, school lunches, and ticketed events that do not require preference-based signups.

If your school has the SchoolsBuddy Fees module, upfront payments are applicable through the available payment gateways in your school's region.

Trips

Your implementation manager will discuss how your school processes trip signups. Depending on the complexity of your operations, multiple modules may be required for setup. The process generally includes 3 steps:

Step 1 : Create a Container

Step 2 : Create Groups

Step 3 : Create Events & Publish Events

Additionally, we can attach custom forms for schools to collect relevant information upon sign-up, such as passport and insurance numbers, medical information, and consent signatures.

Wraparound Care

Your implementation manager will discuss how your school processes wraparound care bookings. Depending on your setup, parents can self-select suitable events for their children. SchoolsBuddy offers a separate voucher wallet that can be overdrawn if applicable. The process generally includes three steps:

Step 1 : Create a Container

Step 2 : Create Groups

You can create different groups by applying filters, such as year/grade or other group categories if needed. For example,

  • Breakfast club / Afterschool care club

  • Y1-Y3 WAC / Y4 above WAC

  • Regular children / Staff children

Step 3 : Create Events & Publish Events

You can create different types of events if needed. For example,

  • Individual drop-in sessions

  • Daily block bookings (All Mondays or Fridays etc.)

Other Events (Ticket)

Your implementation manager will discuss how your school processes various booking events to recommend suitable setups. The process generally includes 3 steps:

Step 1 : Create a Container

Step 2 : Create Groups

Step 3 : Create Events & Publish Events You can create different types of events depending on whether there is a cap for your ticketing event. For example,

  • Individual Event with Different Number of Tickets : Suitable for scenarios where you want to allow users to book multiple tickets at once, such as when a discount is applied for purchasing more tickets. However, it's important to note that this setting does not have a place limit, so the total number of tickets available is determined by the number of tickets you set up in the events.   • Individual event with different seat number : Suitable for scenarios where you want to assign specific seats to each ticket, such as for theater performances or concerts. By assigning seat numbers, you can ensure that each ticket corresponds to a specific seat, providing a more organized and personalized experience for attendees. Selling Tickets for Events, Exhibitions, and Performances by Seat Number
