What will we cover?

In our meetings, we will take a look at how your school manage sport fixtures and relevant events to advise how to set them up in Sports Portal.

The Sports Portal is accessible to all users. Depending on your school's data privacy policies, you can adjust display preferences accordingly in the settings.

Quickstart Guide to Sports Portal Settings

Overview

The Sports Portal is an extension of the Organising, tailored specifically for managing sports groups and events. This portal enhances flexibility in communication and consent management, allowing for more efficient coordination. Within the portal, you can set up sports events for various groups and manage them seamlessly through the Reception area.

By utilizing the Sports Portal, schools can streamline the organization of sports activities, ensuring that all participants are well-informed and that necessary consents are properly managed. This centralized approach facilitates better oversight and enhances the overall experience for both organizers and participants.

Sport Groups

There are two ways to add a group into Sports Portal:

  1. Simultaneously add a group when setting up groups in containers

  2. Manually add a group in Sports Portal

Sport Events

Your implementation manager will guide you through the process of setting up sport events. The process generally includes 5 - 8 steps:

Step 1: EVENT TYPE

Select an event type for the sport events you want to create.

Step 2: SELECTION

Select the following to manage the event:

  • A group (The sport group you want to create event for)

  • Communication recipients (Parent / Students / Both)

  • Communication type — All of group included - NO consent required — Select from group - NO consent required — Consent with auto selection — Consent with manual selection

Step 3 : DETAILS

Input the details for when and where. Vital and additional information for the events can by specify as well.

Step 4 : COST (Note: only applicable for consent required types)

Specify whether a charge is involved to the event. The charge will be added once the students get selected.

Step 5 : OPPONENT

Specify the opponent's name and design a stylish T-shirt for them.

Step 6 : CONSENT (Note: only applicable for consent required types)

Set up the required consent format. You can specify whether a custom form, deadline or place limit is needed.

Step 7 : REPEAT/DUPLICATE (Note: only applicable for All of group included - NO consent required)

By enabling this feature, you can create practice sessions or recurring events.

Step 8 : CONFIRMATION

Simply click on 'Save' to create sport events after reviewing this finalized page.

How to Create a Sport Event without Consent and Automatically Notified Everyone

Manage

Your implementation manager will guide you through the process of managing sport events in Reception | Registers / Events > Manage. The process generally includes 2 - 3 steps:

Note: This is only applicable for consent required events.

Step 1: SEND INVITES

After the sport events are created, you need to send invites to parents / students for consent. You can:

  1. Toggle the relevant students and click on 'Send' for invitations.

  2. Click on 'Invite All' for inviting all students at once.

Step 2: CONSENT

After the invitations are sent, consent information will be shown accordingly. You can:

  1. Override the Consent Status: Useful when assisting parents in providing consent or changing the consent status.

  2. Notes on Consent: If parents or students provide additional notes with their consent, this information will be visible for the school to reference.

  3. History of Consent Status: Useful for checking whether the consent status has been changed, by whom, and when.

Step 3: SELECTION

Depend on the communication type selected, an additional selection step may be required. You can select the relevant students and click on 'Confirm selections' to notify the parents/ students accordingly. Once selected, students will show on registers and fees will be added (if applicable). Note: This is only applicable for Consent with manual selection.

Additionally, you can remove students from selection by unticking the toggle box under 'Selected' column. However, no notifications will be sent to parents/ students.
