Help teachers schedule and execute field trips or other enrichment.
Facilitate IB faculty meeting and collaboration.
Pop in and observe IB classes. Meet with teachers afterwards and debrief on the lesson.
Update and check assessment calendar (particularly if tracking course assessments such as tests or quizzes on the assessment calendar in addition to IB assessments).
Email teachers to check on IA progress and see if they need support.
Remind everyone (students, teachers, parents) of due dates. EE, TOK Essay, and HL Essay are the first things due, typically with a March 15 upload.
Check the coordinator area of the PRC for updated content.
Review schedules for IB students for next year. Check for:
IB Diploma requirements (SL and HL mix, subject groups, TOK, etc)
Prerequisites met (if not, look into online courses or summer school options to fulfill the prerequisite courses)
Potential IB course conflicts
Local graduation requirements
Communicate with subject area teachers about appropriate placements in courses and levels, particularly with Group 2, Group 4, and Group 5 courses.
Meet with prospective IB students (grades 9 and 10) to make tentative course schedules through their diploma programme.
(Early January): Final deadlines for registering for exams, changing student numbers, etc. in IBIS.
Update social media accounts with student/faculty spotlights
Communicate programme or IB student successes within and outside of the school
Remit payment for exams to the IB when the invoice arrives
When available (usually mid-January), begin uploading content to IBIS for externally assessed elements and internal assessments (IAs). It’s best to begin as soon as possible. Some schools have students upload their own work into IBIS, and some may have subject teachers do the uploading. The following assumes that the coordinator will do the uploading
Have students complete a statement of authenticity to accompany each of their uploads.
To upload externally assessed elements (EE, HL Essay, etc), go to Subject → eCoursework
Find the place for each required item to be uploaded. If there’s a clock next to something, it’s still working. A checkmark means it’s uploaded.
Open the preview to make sure student work was uploaded correctly.
Uploaded documents should be anonymized, but it’s okay for the file name to have the student’s name in it.
Naming the file with the student’s name makes uploads easier.
To upload internal assessments: Go to Subject → IAPG
Go to ‘Mark Entry’ → ‘IA Mark Entry’ and click on ‘enter marks’.
Put in the total marks for the IA (every subject has a different number of points available according to their rubric).
Confirm the IA marks by typing them in a second time.
Look for the window that will pop up. It will tell you which students have been automatically selected for moderation.
For students selected for moderation, a new section will appear in eCoursework that enables you to upload the student work as well as marks and teacher comments.
It can take up to a day for the eCoursework to be updated with an upload place for IA moderation (so best not to wait until the last day!)
Give yourself extra time for Group 6 subjects (particularly visual art and film). The time to complete uploads for these subjects can be quite lengthy.
