Facilitate IB faculty meeting and collaboration.
Update and check assessment calendar (particularly if tracking course assessments such as tests or quizzes on the assessment calendar in addition to IB assessments).
Review Exam registrations process and IBIS Exam Registrations Guide in ManageBac
Create a spreadsheet of all students taking exams at the next exam sitting. Include columns on the spreadsheet for:
Academic integrity acknowledgement/signature on file
Schedule checked
Exam registration complete
Exam payment (if applicable) complete
Follow up on resource acquisitions.
Help teachers schedule and execute field trips or other enrichment.
Encourage qualified teachers to apply to serve as IB examiners or other IB professionals (high need areas are usually listed in the Coordinator’s Notes).
Discuss formative and summative assessments within subject groups and across courses. Aim for consistency and collaboration whenever possible..
Continue regular meetings with IB faculty. Try to have a specific focus at each meeting. You can draw the focus from the ATLs or ATTs, the learner profile, or from key IB principles such as international-mindedness.
Pop in and observe IB classes. Meet with teachers afterwards and debrief on the lesson.
Remind teachers about resources available on the PRC and the DP Approaches to teaching and learning website.
Schedule CAS supervisor to meet with year 11 (DP1) students during advisement/TOK.
Check in with DP year 2 (year 12) students to discuss college application plans.
For a personal touch, call all parents of IB DP seniors to answer any questions they may have about SAT/ACT, college admissions, course progress, etc.
Fill out and submit the IB teaching and learning survey (it will come via email).
Receive certificates (certified results from the IB). Mail to students (in pre-addressed. envelopes if you had the previous year’s DP2 students address them; otherwise check to see if the registrar has addresses of recent graduates on file).
Check the PRC for the most current assessment calendar.
Keep a calendar of all assessments and upload dates.
Communicate early and often with teachers about hard deadlines.
Consider setting an internal deadline in advance of the upload date to allow for any issues or delays.
Send your administration prospective dates for IB informational nights. Find out when course registration will occur for the next year and schedule the nights well in advance to give time for applications.
Send an exam registration newsletter to students and parents detailing exam registration and payment processes - as well as available articles for students in ManageBac such as the Plans Worksheet Guide.
If your school does not pay for student exams, determine a plan to support low-income families with their fee payments.
If your school offers multiple programs or exams, consider a consolidated testing website or newsletter and uniform processes – this is helpful for consistency and to eliminate confusion.
For a personal touch, consider running an ‘IB Spotlight’ on social media or the school website or newsletter: you could alternate between faculty and students and use a template to include an area for a bio or quote from the individual and a photo.
Exam payment will vary from school to school, with some districts paying for student exams and some students/families paying for their own exams.
However payment works for you, be sure that the details are communicated frequently and clearly if that is your responsibility.
Work with administration to determine exam payment details.
If using an external payment site such as Total Registration, set up registration and payment details. Whatever system you choose, be sure that you include:
First name
Last name
Date of birth (be sure that you’re cautious of MM/DD/YYYY vs DD/MM/YYYY if you export
Address
Phone number
Email address (student and parent if possible)
Give students a heads up about exam fees (your school may have a policy that all students in IB courses must take the exam).
